Personal Assistant to the CEO (m/f/d)

To support our CEO, we are looking for a highly organized and proactive Personal Assistant who will play a key role in ensuring smooth operations and managing high-level business functions across paper republic and its group holding. You will be the CEO's right hand, overseeing schedules, coordinating executive priorities, and handling administrative tasks to enable strategic growth.

Personal Assistant to the CEO (m/f/d)

40h/week (immediately)

Your Responsibilities:

  • Agenda & Time Management: Efficiently manage the CEO's schedule, coordinate meetings, and maintain oversight of daily, weekly, and monthly priorities. Including the preparation and follow-up of meetings, such as creating agendas, taking meeting minutes, and preparing data for presentations.
  • Task & Priority Tracking: Monitor key priorities and support the CEO in managing tasks effectively.
  • Communication Management: Filter emails and requests, prioritize urgent matters, and handle responses independently when appropriate.
  • Executive & Travel Coordination: Organize and oversee travel logistics, including flights, accommodations, and itineraries, while also coordinating board and company meetings, preparing agendas, taking notes, and tracking action items.
  • KPI Management: Collect and organize company-wide key performance indicators (KPIs) to support data-driven decision-making.
  • Holding & Financial Administration: Manage administrative tasks related to the paper republic group holding, including invoice processing, expense management, and financial record-keeping.

Your Profile:

  • Minimum 2 years of experience in a similar role, ideally as a PA, Executive Assistant, or in a senior administrative position.
  • Bachelor's degree in Business Administration or a related field is a plus.
  • Highly organized, detail-oriented, and proactive, with the ability to anticipate and manage multiple priorities.
  • Strong business acumen and confidence in working with numbers and data.
  • Fluent in English and German, with French proficiency considered a strong advantage.
  • Exceptional written and verbal communication skills with a professional, clear approach.
  • Calm, adaptable, and able to perform well under pressure in fast-paced situations.
  • Flexible and responsive, able to step in quickly when required.

Salary

The minimum salary is 2,400 EUR gross per month (on a 40-hour basis). The actual salary depends on your qualifications and experience.
