We, the European Academy of Neurology, a medical NPO, are looking for an

Administrative Assistant to the Scientific Department (m/f/x) 30+ hours

for our Head Office in 1070 Vienna, starting as soon as possible.

For our Scientific department, we are looking for someone who supports us mainly with the administrative duties such as daily correspondence, the organisation of committee- and working group meetings (in-person and online), preparing meeting material, writing meeting minutes, annual reports, observing timelines, etc.

EAN is a non-profit, independent organisation representing more than 45,000 members, as well as 48 European national societies. As a medical society we promote excellence in the practice of general neurology throughout Europe, leading to improved patient care. We also aim to keep Europe at the forefront of neurological research and maintain its position as one of the worlds scientific hotpots in neurology.

Required skills:

  • High MS Office proficiency (Word, Outlook, Excel, Powerpoint, etc.) and familiarity with office management tools
  • Organisational and administrative skills, attention to detail
  • Fluent high-level English
  • High degree of accuracy, discipline and motivation
  • Maintain high professional ethical standards
  • Good communication skills and joy in working with international customers
  • Willingness to travel to the annual congress (one week per year)

Responsibilities:

  • Support administrative duties with relation to Partners Cooperation, track action items, facilitate correspondence
  • Support administrative duties of the Scientific Committee, Panels and Task Forces
  • Help with organising meetings and conference calls, developing and distributing agendas, writing meeting minutes, assuring that the projects are carried out according to the EAN standards and set timelines
  • Prepare yearly reports
  • Other duties as assigned

Education:
Secondary Education (Matura or equivalent)

EXPERIENCE:

Experience in professional office/international environment valued

Salary (gross): Based on 40 hours: min. EUR 2100.- (gross, 14x per year). Negotiable, depending on experience.
